1. About GrassrootsFC

GrassrootsFC ("we", "us", "the platform") is operated by Barazovsky Limited and provides website hosting, content management, and online tools for grassroots football clubs in the United Kingdom. By creating an account or using the platform, you agree to these terms.

The platform is operated from the United Kingdom and is subject to English and Welsh law.

2. Account creation and responsibilities

When you sign up, you become the account owner and primary club administrator. You must be at least 18 years old to create an account. One account is allowed per club.

As the account owner, you are responsible for:

  • Providing accurate club information
  • Keeping your login credentials secure
  • All content published through your club's website and admin dashboard
  • All actions taken by any admin users you invite to the account

Multi-admin access

You may invite additional administrators to help manage your club. The account owner is responsible for all admin users and the actions they take. The account owner can remove admin access at any time. If an admin you invited breaches these terms, the account owner remains responsible.

3. Plans, features, and limits

GrassrootsFC offers three tiers: Free, Club, and Pro. Each plan has specific limits on features and storage:

We may adjust plan features and limits from time to time. If we reduce limits on your current plan, we will give at least 30 days' notice and existing content will not be deleted without warning.

If your account exceeds its storage limit, we may restrict new uploads. We reserve the right to remove content from accounts that persistently exceed storage limits after giving reasonable notice.

4. Payments and billing

Paid plans (Club and Pro) are billed monthly via Stripe and auto-renew each billing cycle. You can cancel at any time, and your plan will revert to Free at the end of the current billing period. No refunds are given for partial months.

For clubs using the online shop, we process customer payments through Stripe Connect. A platform fee applies to each shop transaction, as shown in your dashboard. Stripe's own terms and fees also apply.

We may change pricing with at least 30 days' notice. Existing subscriptions remain at their current price until the next renewal after the notice period.

5. User-uploaded content

Content ownership

You retain full ownership of all content you upload, including club badges, images, photographs, text, news articles, documents, and product listings. By uploading content, you grant us a licence to host, display, cache, and distribute it solely for the purpose of operating your club's website and the platform.

We do not claim ownership of your content and will not use it for purposes unrelated to providing the service.

Data controller responsibilities

For the purposes of UK GDPR, the club is the data controller for any personal data contained within content uploaded to the platform (including photographs, documents, and form submissions). GrassrootsFC acts as a data processor on behalf of the club.

As a club administrator, you are solely responsible for:

  • Obtaining all necessary consent and permissions before uploading content, including photographs
  • Obtaining parental or guardian consent before uploading any photographs or personal data of minors (under-18s) — this includes match photos, team photos, training images, and award ceremonies
  • Complying with your club's own safeguarding policies and any FA or league requirements regarding images of children
  • Ensuring all uploaded content is legal, appropriate, and does not infringe third-party rights
  • Handling data subject requests (access, deletion, etc.) from your members in accordance with UK GDPR
  • Having appropriate privacy notices in place for data you collect through your club website (e.g., contact forms, join forms, shop orders)

Content moderation

GrassrootsFC does not proactively monitor or moderate content uploaded by clubs. We do not screen images using AI, machine learning, or automated content analysis tools. The responsibility for ensuring uploaded content is lawful and appropriate rests entirely with the club.

However, we reserve the right to review and remove any content that is reported to us or that we become aware of that violates these terms, without prior notice.

6. Acceptable use

You agree not to use the platform to:

  • Publish hate speech, discrimination, or content inciting violence
  • Upload illegal, obscene, or harmful material
  • Upload photographs of minors without appropriate parental consent
  • Impersonate another club or organisation
  • Distribute malware or attempt to compromise the platform's security
  • Sell prohibited, counterfeit, or illegal goods through the shop
  • Engage in fraud or misleading activity
  • Use the platform in any way that breaches UK GDPR or the Data Protection Act 2018

7. Third-party integrations

The platform integrates with the following third-party services:

  • Stripe — Processes subscription payments and club shop transactions. Stripe's terms of service apply to payment processing.
  • Google Analytics (optional) — If you choose to add a Google Analytics tracking ID in your club settings, Google Analytics will be loaded on your club website. This is entirely your choice. If you enable it, you are responsible for complying with cookie consent requirements and Google's terms of service. We recommend displaying a cookie banner on your site.
  • PWA (Progressive Web App) — Club websites support installation as a PWA on visitors' devices. This is a standard web feature and does not collect additional data.

8. Intellectual property

Club badges, logos, and all content uploaded by clubs remain the intellectual property of the respective club or rights holder. GrassrootsFC does not acquire any ownership rights over club content.

The GrassrootsFC name, branding, and platform code are the intellectual property of Barazovsky Limited. You may not copy, modify, or redistribute any part of the platform.

9. Data handling and UK GDPR

We process personal data in accordance with UK GDPR and the Data Protection Act 2018. Full details of how we collect, use, and protect data are in our Privacy Policy.

As outlined in section 5 above, club administrators are data controllers for personal data they collect and manage through their club website. GrassrootsFC is the data processor. We will process club data only as necessary to provide the service and in accordance with the club's instructions.

10. Service availability

We aim to keep the platform available at all times, but we do not guarantee uninterrupted service. The platform is provided "as is" without any uptime SLA or service-level guarantee. We use a serverless architecture on AWS for reliability, but no system is immune to outages.

We may occasionally take the service offline for maintenance and will try to give advance notice where possible. We are not liable for any losses caused by downtime.

We host the platform on Amazon Web Services (AWS) in the EU (Ireland) region.

11. Account suspension and termination

We may suspend or terminate your account if you:

  • Breach these terms
  • Fail to pay subscription fees after reasonable reminders
  • Use the platform in a way that harms other users or the service
  • Upload content that is illegal, harmful, or violates safeguarding obligations

Inactive accounts

If a club website receives no admin login or content update for a continuous period of 9 months, we reserve the right to delete the account and all associated data (including the website, images, documents, shop products, and database records) without prior notice. It is your responsibility to keep your club website active. We are under no obligation to notify you before deletion of an inactive account or to retain backups of deleted data.

You may close your account at any time by contacting us. On account closure or termination:

  • Your club website will be taken offline immediately
  • You may request a data export before closure by emailing us
  • We will retain your data for 30 days to allow for recovery or export
  • After 30 days, all data (including images, documents, and database records) will be permanently deleted from S3 and DynamoDB

12. Limitation of liability

To the maximum extent permitted by law:

  • We are not liable for any indirect, incidental, or consequential damages arising from your use of the platform
  • Our total liability for any claim shall not exceed the fees you have paid to us in the 12 months preceding the claim
  • We are not responsible for losses resulting from downtime, data loss, or third-party service failures (e.g., Stripe payment issues, AWS outages)
  • We are not responsible for content uploaded by clubs, including any claims arising from photographs of individuals (including minors)
  • We are not responsible for any breach of data protection law caused by a club's failure to obtain proper consent for content they upload

Nothing in these terms excludes or limits our liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be excluded by English law.

13. Changes to these terms

We may update these terms from time to time. If we make significant changes, we will notify you by email at least 14 days before the changes take effect. Continued use of the platform after changes take effect constitutes acceptance of the updated terms.

14. Governing law

These terms are governed by English and Welsh law. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
